Start with the workflow, not the technology
Document the trigger, users, decisions, systems, data movement, exceptions, approvals and desired outcome. This exposes whether the problem is missing capability, duplicated entry, poor integration, manual handoffs or an experience layer that no longer fits the business.
Integrate before you rebuild

Build for change
Use clear system boundaries, APIs and configuration so future products, channels and client-specific variations do not require a fork of the entire application. Where customers need different capabilities, modular configuration is usually safer than duplicating the platform.
